Account ID   Your Colabolo account ID is the email address you used when signing up for Colabolo. You can update your email address and password from your Account Settings. Editing your Account

  • icon next to a filename indicates that the file is available for download from another member.
  • icon next to a filename indicates that the file has been downloaded and can be previewed in the browser.
  • No icon next to the file name indicates that the file is not currently available for download.

Setting Issue Details
Attributes   The attributes of the issue are the issue's ID, type, priority, status, assignee, creator, start date, due date, progress and notify list. Attributes

Back   Go to the previously viewed issue in the issue list.

Close Window   Hide the main application window. Click on the application icon in the Windows system tray or Mac dock to show it again.  
Collapse All Comments Display the issue's comments in compact view.  
Comment Issue Short instruction to be conveyed to other members on the issue's notify list.  
Comment History Change history of the comment. The comment can be edited by its creator or the project manager.  
Copy Issue Create a duplicate copy of the issue. The comments and attachments are not copied.  
Created by   The team member who created the issue. Cannot be modified. If the team member is removed, the "created by" changes to the project manager.

Dashboard Displays the preset filters and progress reports for the project.  
Date Chooser Displays a mini-calendar that you can use to select a date.  
Delete Delete a comment, file, issue, member or the project. A member can delete his own comments and file attachments. The project manager can delete any comment, file, issue, member or his project.  
Downloadable File A file that is available for download from another member.  
Downloaded File A file that has been downloaded and can be previewed in the browser.  
Due Date   The deadline by when this issue must be resolved.
 
Due in 2 weeks filter Filters issues which are due in the next 2 weeks.

Edit A member can edit the details of any issue in the project and his own comments. The project manager can edit any comment, issue or his project's name/description.  
Edited   edited mark next to the comment indicates that the comment has been edited. The changes can be confirmed by checking the comment's history.
 
Email Address   The email address of the user. You can update your email address from the Account Settings screen.  
Emailed   emailed mark next to the comment indicates that the comment has been emailed to an external user.
 
Expand All Comments Display the issue's comments in expanded view.  
External User A person who is not a member of the project team and is participating in the issue via email. For example, a customer or partner or consultant. Colabolo allows external users to create issues/comments via email and team members can email the reply when commenting on the issue.

Filters You can shortlist issues in a project using various filtering criteria (filters):
  • All – all issues
  • Unresolved – unresolved issues
  • Flagged – issues that I have flagged
  • All notified – issues I am on the notify list of
  • Unread only – unread issues I am on the notify list of
  • Unread/Flagged – unread issues I am on the notify list of and flagged issues
  • Recently updated – issues updated in the last 3 days
  • Due in 2 weeks – issues which are due in the next 2 weeks
  • All Statuses – issues in any status
 
Flag Flag an issue to mark it for follow-up later. Flagged issues shall remain in your Inbox after you have read them (if your Inbox preference is set to "Unread/Flagged")  
Flagged Tray Lists all issues that you have flagged for review. Customize your Issue Trays
Footer   The footer area of application containing Account Settings, Sync Indicator and quick links. User Interface
Forward   Go to the next viewed issue in the issue list.
Toolbar
From: Name   The sender name to be displayed on emails sent to external users via a mail account.

Guidance   Colabolo shall show you help guidance on yellow post-its right after you sign up to guide you through the first steps of using Colabolo.  
       
H      
Help Text   Colabolo shall display help text if you have not added any projects, members or issues.  
Hide Issue List Use this to hide the issue list and maximize the issue details panel.  
Highlight   All the changes made to the issue by other members since you last viewed it are highlighted in yellow. When can roll-over your mouse over a highlighted change, you'll see additional information about the change, such as the previous value and who made the change.
 
       
I      
Idle Member A member who is online but currently idle (not using the Colabolo application).  
Inbox Settings   Your Inbox shall notify you of updates to issues you are on the notify list of. You can choose to list only the unread or flagged issues in your Inbox. You can choose from:
- All notified issues
- Unread issues only
- Unread or flagged issues
 
Inbox Tray The "Inbox" smart folder (or filter) lists updated issues you are on the notify list of. You can choose to list only the unread or flagged issues in your Inbox by customizing the Inbox Settings.  
Incoming Mail Server   The mail server where your mail account exists. Emails received at this account shall create new issues or add comments to existing issues.  
Invite   Invite a person to join your project team by entering his email address.
 
Invited Member A person who has been invited but not signed up for Colabolo yet.  
Issue A unit of work that needs to be done by your team, for example a task, a support request, or a sales order.  
Issue Attributes   The key properties of the issue: ID, Type, Priority, Status, Assignee, Created by, Notify list, Start date, Due date, Progress.
 
Issue Description   A description of the issue as submitted by the creator of the issue. Can be edited by any team member.
 
Issue Details   Details include everything about the issue - Title, Description, Attributes, Comments and Files.  
Issue History The history of changes made to the issue's description.  
Issue ID   A system generated number appended to the project ID uniquely identifying an issue.  
Issue List   A list of issues matching the currently selected filtering criteria (project, issue tray, filters, search query).
Issue List
Issue Title   A short title given to the issue to convey its purpose.
 
Issue Types An issue type defines the sequence of steps in which a type of work should be conducted inside the project (in other words, the workflow or progression of statuses that an issue shall go through on its path to resolution). These workflow steps should match your business process. You can customize the following templates to match your requirements:
  • Issue (default) – A basic workflow consisting of three statuses (Open, In progress, Resolved).
  • Defect – A bug or problem that needs to be fixed.
  • Support Request – Request for help, typically from an external user.
  • Approval Request – A three stage approval process.
  • Document Review – Basic workflow for document editing and review.
  • Quote/Order – A basic sales process workflow.

L      
Language   Your language preference is used to display the user interface of the application. When you create a project, its issue types, priorities, statuses and resolutions are set according to your current language preference. If you wish to display these labels in a different language, please change your language preference before creating the project.  
Login   In Colabolo, the login and sign up screen is the same (if your email address is already registered, you shall be logged in). Once logged in, you shall stay logged in.  
Logout   You might consider logging out if you are using a public computer or you wish to login as another user. To logout, access "Account Settings" > "Wipe Out". This shall delete all your local data and log you out. Next time you login, your data shall be restored from the server backup.  
       
M      
Mail Accounts   You can enable the mail service for your projects by adding mail accounts. This will enable creation and commenting of issues via email. You may add multiple mail accounts to a project.  
Maximize   Maximize the size of your application window.  
Member A member of your project's team. Every member can access all issues of the project.  
Members Members are all the users in your project team. You can add or remove members from the Setup > Members screen.  
Minimize   Minimize the size of your application window.

Notify to   The number of team members or external users who are on the Notify List of this issue. Click the icon to edit the Notify List.  
Notify List   The list of members or external users who shall be notified of updates to this issue. The Notify List automatically includes the creator and assignee (current & past) of the issue. You can also add external users to the Notify List (only if a mail account has been configured for this project). The project manager is notified for updates to any issue in the project, even though he is not explicitly added to the Notify List. You shall be automatically added to the notify list of the issue if you flag or mark the issue as unread, comment on or were a previous assignee of the issue.
 
       
O      
Offline Member A member who is not currently running the Colabolo application.  
Online Member A member who is currently running the Colabolo application. You can download a file if a member holding the file is currently online.  
       
P      
P2P Mode   Peer-to-peer mode (default). Direct transfer of files from one member to another. This mode is included in the basic service but only available when the other member is online.
 
POP Mail Server   A mail server that supports the POP protocol.  
Port Number   The port number of your POP mail server. Generally, 110 for POP (995 over SSL).  
Position   The sequence in which statuses are listed in the status drop-down on the issue attributes panel. Attributes
Priority Priority is an indicator of the importance or urgency of an issue. The default priorities standard across all projects are:
  • Highest (or Top)
  • High
  • Medium (default)
  • Low
  • Lowest
 
Progress   The percentage of completion of the work to be performed to resolve the issue.]
 
Progress to   The available statuses to which the current status can progress (transition) to.  
Project A project contains issues collectively worked on by a team of members.  
Project Description   A description of what the project is about.  
Project ID   An arbitrary alphanumeric string identifying the project, used to generate the issue IDs of the issues in that project.  
Project Manager The user who created the project. The project manager is notified for all updates in the project. Only the project manager has the project administration privileges which include:
  • add/delete members (when he removes a member, the issues assigned to or created by the removed member are changed to the project manager)
  • add/edit workflows
  • add/edit mail accounts
  • edit/delete project details
  • edit/delete all comments
  • delete all files
  • delete all issues
 
Project Name   Project name is a short name of the project which is displayed in the project selector. Project Details

Q      
Queued   queued mark next to the comment indicates that the comment is in queue for emailing to an external user. Emailing the comment to external users

Reactivate   When you reactivate the mail service, Colabolo will resume fetching email from the mail server. Reactivating may be necessary in case the mail service has been interrupted due to an error returned by the mail server (indicated by the red icon next to "Mail Accounts" in the sidebar). Reports   Graphs displaying statistical information about the project such as the breakdown of unresolved issues by status, priority and assignee. Browsing your Dashboard
Recently updated filter Filters issues that were updated in the last 3 days.  
Resolution   The manner in which the issue was resolved, for example: "Completed", "Payment Received" Resolving the Issue
Customizing Issue Types
Resolve Issue Resolve the issue to indicate that the work on this issue has been completed. Optionally, you may set a Resolution at the same time. You can re-open the issue by changing its status. Resolving the Issue
Restore   Restore the size of your application window.

Schedule A calendar snapshot displaying the time sequence of issues in the project. Browsing your Schedule
Search   Text query used to search issues in a project. Search scope is limited to the issues currently in the issue list, as determined by the project, issue tray and filter(s) in use. Searching Issues
Sharing Files   You can share files with other team members by attaching them to the issue. Attaching files

Start Date   The date from when you would like work to begin on this issue. Editing Start & Due Date
Status Status indicates the state of the issue. For example, the statuses for an issue can be:
  • Open (default) – the issue is currently open
  • In Progress – the issue in undergoing work
  • Resolved – the issue has been completed

Subscription A subscription includes access to Colabolo service, software updates and technical support. Subscribing to Colabolo service allows the project manager to share issues with the number of team members included in the user-pack. User packs are available in increments of 5 users and can be upgraded or downgraded at any time.

Undownloadable File   A file that is not currently available for download since none of the members having the file are currently online. If you enable the Shared Disk mode, you shall be able the download the file from the Colabolo server at all times. Viewing File Attachments
Unflag   Remove the flag mark from an issue. Flagged & Unread Issues
Unread An indicator that there have been updates to the issue since you last saw it. The latest updates are highlighted in yellow color. Flagged & Unread Issues

Update Status   Change the status of the issue when progress is made towards resolving the issue. For example, from "Open" to "In Progress". Updating the Issue's Status

Wipe out   Delete all your local Colabolo data from the computer and logout. Next time you login, your data shall be restored from the server backup. Wipe Out
